From a small business owners perspective, aka me and share how you can quickly get started and leverage Xero to manage your daily accounting requirements for your small business. Okay, so here we are in our Xero account. Now as you can see, we’re currently using a company. Now with your Xero account, you can actually create a new organization and you have access to a demo account. This allows you to play around with Xero and kind of understand all the extensive features and tools within Xero. Okay, so before we dive into Xero and show you how to get started and leverage all tools and features within Xero. First we need to understand exactly what Xero is, is a Cloud based accounting software designed for meeting needs. Zero simply allows you to manage the day to day operations and transactions on things simple bank reconciliations inventory, project management and more. Zero sleeves are friendly and will ultimately save you time and money. Since you want to use an honest accounting software like Xero for your small business is you can simply connect your accountant with your Xero account, which means that accounting can simply monitor and access your account when they need to for financial reporting at the end of the financial year, or anytime you need support and help you can reach out to your accountant and they can access your account and provide the information you’re looking for. So it’s important to talk to your accountant and discuss Xero as an option for your small business. And one last thing before we dive into our Xero account and waste no more time. This is a overview from the perspective of a small business owner, myself you mentioned at the beginning of this tutorial, I am not an accountant. So if you do need some advice in terms of your accounts, then get in touch with your accountant. I’m just going to cover this as a online accounting software that can benefit small business owners as a small business owner, okay, so that outline let’s get straight into it. Now first things first what we need to do is dive into our settings and make sure that how business information is correct within our Xero account. So navigate up to your demo account up here or your regular account if you’re using your normal account, and then come down to Settings. Then settings navigate under General and select organization details. Then under organization details. The first element you can see here is include some of your information on the online invoices you’ve seen. So with Xero you can create invoices and automatically scenarios to your clients and your customers. So I recommend navigating over here and select on then what we want to do is come down here and fill out your basic information. Then down to contact details and fill out your contact details. Now you can choose what you want to include in your invoice. So for example, if I wanted to include what is your line of business, include that on the invoice again, contact details, I can include those in the invoice so this is completely up to you. Then we want to come down here and agree to the terms and conditions. Then it’s also recommended that you select zero Terms of Use and community guidelines and read through those documents. They weren’t too happy with all your business information, navigate over to save. Okay, so once you’ve completed your organization details, what we’re going to do is navigate back to organization settings. And under General there’s a few more settings that we want to quickly cover. First we have users so this is where you can essentially add other users to your account. Now in a small business, you might have a few people that have access to your accounts. You can give them access here. Accountant, you want to give them access under Users. Then you can also remove and modify the type of permission levels that they have in your organization. Then we have currencies manage the currencies, your business users, then we have connected apps and for the purpose of this beginners tutorial, we’re not going to discuss too much about the apps. However, what you can do is browse some of the important apps that you want to possibly connect with your CRM account. Now for example, if you have a payment gateway, and you want people to make online payments through your invoices, then you can connect apps like Stripe, PayPal, and there’s dozens of other apps that you can connect with Xero to have a browse through connected apps if you like and then on the right hand side we have more features however we’re not going to discuss too much about this is a tedious details that you can cover in your own time. Now what we want to do is navigate back to the dashboard and dive into the dashboard. Okay, so on your Xero dashboard we’ve important elements that we’re going to cover shortly. Firstly what we need to do is actually set up our business bank accounts. So what we need to do is connect our business bank account with Xero. And what this does is automatically import our transactions, business transactions that we do within our account that gets automatically imported into our Xero account and those items. For example, if you purchase supplies, in that purchase, that transaction is going to be automatically imported into Xero to be an item that you need to reconcile and then what you would simply do is click reconcile and you would make sure that you leave clients down and we’ll show you more of a sample and you can reconcile that it essentially allows you to manage and balance your account with complete ease as simply reconciling all your different transactions. So what we want to do so how do we do that? What we need to do is navigate to accounting, and then click on bank accounts. And down here as an example, you can see we have a business bank account with ASB connected you can see that we have 27 items that need to be reconciled in a savings account. Again this is connected with zero however we have had no transactions imported. So basically now what we need to do is connect our bank accounts with zero we need to connect our bank feeds to do that simply need to add bank account. And this is where you can simply connect your bank account. So follow the process. It’s very straightforward, zero and your bank will guide you through this disease. Find your bank and then go through the step by step process very easy to follow. So we’re not going to do that. Now because there’s pros and easy to follow. So once you’ve added your bank accounts that can take up to 10 days to connect and start seeing those transactions occurring on your account. Okay, so now that you’ve connected your bank accounts, what we want to do is navigate back to dashboard and that’s like that we’ve all started with your Xero account. Now what we want to do is leverage all the tools and features within Xero so you can make the most of this powerful online accounting software. Okay, so firstly here on our dashboard is we can see snapshots of what’s happening within your business within your account. Firstly, you can see our bank feeds. So these are our bank accounts that we have connected to zero. So this is where you can go ahead and reconcile your items, the transactions that have been happening in your account and we’ll show you how to do this after we’ve covered the dashboard. Then below our bank feeds we have total cash in and out this is just a snapshot of the last six months. Then over here we’ve got account watch. Now these are accounts that you want to keep an eye on snapshot of accounts that you want. And what you can do is report to you that you want to keep on your dashboard. So currently we have 12345 accounts on our watch list to add a new account and then come down under Advanced and click on chart of accounts. And then navigate down here and simply select any of these accounts that you want to add on a watch list. For example, if I wanted to add a revenue to my watch list, I would simply click under revenue, and then navigate down to show on dashboard watch list and click Save. Then if we navigate back to our dashboard, then if we come to account watch, notice that we have other revenue as a another account. Dashboard doesn’t have invoices or invoices. Or you can also navigate up here to invoice and go ahead and Create Invoice for automation if you need to pay. You can create a new thing

that you don’t want to watch. For example, if I didn’t want a savings account, objection you then click Hide account on my dashboard. Now

I could place this section over here again. I’m gonna put that back over and you can hide and show different ones that come and click Save Changes. Let’s see if we navigate here you can see that we’ve hidden that bank account the savings business bank account. You have your dashboards net jobs. Now if we navigate up to this platform, you can quickly create new Attributes. Go ahead and create a invoice build contact quote. Spend, receive and transfer money now from your dashboard. There are actually three places that you can quickly go ahead and create a bill and invoice as these two elements you most likely commonly used so basically I can go ahead and create a new invoice here or a new bill. I can also come down here and like I mentioned earlier, I can create a new sales or a new build down here. Now if I never get back up to the top and click business, I can also navigate down to invoices and bills to create an invoice or bill from under business. So there’s multiple places where you can access different areas of your Xero account. Okay, so now that we’ve covered your dashboard, what we want to do now is dive into how you can reconcile our bank accounts, our bank feeds with zero and now transitions that are going to be put into our Xero account. And you can see those transactions here as items that you sold so to simply reconcile your items just click here. So you can go ahead and reconcile your bank. Sample if we come down here you can see that we have 27 items that need to be reconciled under this particular bank accounts or business bank account. And if we come down here you can see that this information has already been inputted so what I would do, okay, and again zero has found a match with our contacts with our information. And you can go ahead and go reconcile and then down here you can see that this item has no match. That means that this is a new contact a new transaction to anything else has happened within our basically this could be a new client of ours. This could be a new transaction in some form, credit or debit. And if you navigate over to more details, you can see more details about this trend for example, there’s gonna be a new client $4,500 into our account to study new I would do is typed in the name of this new client, I would never leave the right account. So for us I could type and this is a savings account. I can enter a description down here again I can add a region. See on this income I can add it here. If I want to add additional details I can do so here and as you can see, I’ve quickly filled out this information now what I want to do is click OK. And that’s going to reconcile that item. You can also talk to your accountant and they will help you set this up so your accountant can actually do and this is what they did for us is they went through a lot of these with us and showed us the right account that we need to put each of these items in gauge how to reconcile our own account. So talk to your accountant and they’ll guide you through this and following that you should have the confidence to reconcile your items on a daily or weekly basis depending on a basic overview
