Hello, everyone. This is Rick with Buddy Punch, and I’d like to thank you for taking a moment out of your day to learn a little bit about time tracking software. Now this is meant to be a very brief overview just a few of the key features and benefits if you’re interested in having a one on one conversation, to reach out to us and schedule that one on one demo with us. But for today, jump right into this and give you that overview. We’re going to start right here on the as you can see, this is a web based solution, so using from any browser or you can use it on any smartphone with our Android or iOS app, different types of users, and each will have the same login page that you see right here. One, an employee, that’s anybody who’s tracking their time. Two, a manager, somebody who’s managing a subset of users or employees who has specific limited permissions. And finally, we have our admin. This is the person who sets up the billing, assigns manager functions and things like that. Now I will mention very quickly that you can have multiple admins as well, so you can arrange that as well. Now an employee can punch in and out or log in with a few different ways, straightforward user ID and password that you see right here, right down below, we have the opportunity to do facial recognition. No User ID or password is needed. They can utilize a single sign on with their Google account. Or if they have another type of account, we can do that as well, using any device with a camera. They could scan the QR code that you see right here, or they could utilize a four digit pan based on your workflow, you can decide how you want employees to do this. For example, you wanted a certain group of employees to use one method versus the other. Well, that’s totally up to you. So now what we’re going to do is log in as an administrator, and
we’re going to show what you’re going to see, everything like you see under you’d only you get the entire picture. We land right here on our dashboard, which has four
upper left corner is our optional scheduling area. Now, if you’re not using our scheduling function, you wouldn’t see this, but today I wanted to show you this, right? We’re going to see the punched in and the punched out area. This is going to show you information about each employee in real time, including any info that we’re capturing for those punches in the lower left corner is the pending approval areas. Now, by default, employees can punch in and out in real life approval, but you can enable a setting where employees can request changes and have the admin or their manager assigned to them approve those changes. They can request changes on punches that you see right here. We also have a paid and unpaid time off area with tracking. And of course, you have time cards that require approval. You can have that here as well. Now the next thing that I want to show you is how to manage your users or your employees. So at the top of the screen here, I’m going to click on the employees tab. So what do you see here? Well, of course, you’ve got first and last name of the employees, their usernames and their but to the far right under the manager column here, if it says yes, you see right here, that means this person is a manager. If it says no, then this is just a normal, regular employee. Let me point out this over here the active column. This is showing you current active employees. Why is this implied, which I’m going to show you by clicking on the inactive tab, for example. Here’s an example, right here. It means that their info is still saved, but they cannot track type. Also, you are not charged for inactive users. You could literally have 100 inactive users, if you like, charge for those that are checking their time as an example, if seasonal early help, or employees that have left that you think might come back, well, you can keep them as inactive here, then reactivate them when they come again. Now let’s click up here again on the active tab. Let’s go ahead and view one of these. Now here is where you can update their information, or you can see what features are enabled for them. Let’s give you a brief overview here under this employee profile that you see right here, notice that you can set time zones or time rule, if they haven’t this is great employees who have different locations, or a mix of salary and hourly employees. As we scroll down, you’ll see things like, do they have a manager? Can they edit their own time? Do they require approval for time off? Requests are they set up here for facial recognition geo fences, which will track where they punched in or out. From audio dropping they have to settings that would snap a picture while they’re punching in out, to be sure it’s really them doing the punching. Next up the top of the screen, we’re going to talk about time cards click on that at the top. The first thing I’m going to show you is our time off calendar. Now this is going to show you of those with scheduled time off. You see some examples here. This is fully customizable, so you can create the types of time off that you have, such as paid or unpaid vacation, sick time, personal days, whatever you like. You can add time off, approve and delete these requests. If you need to time cards, there is a pending option. Let me click on that. So if you use time card approvals, you’d see anything that needs attention right here on the screen. If you’d like to dig into this more, of course, well, we can certainly talk about this more on a one on one demo, if you like. Finally, I’m going to go back up to time cards and click on, we’ll select, click on Pay Period, drop down box right here to pass pay periods of vital oil to the current one. So let’s actually select somebody right here, and then we’ve got our view information on here, as such as the ability to edit their time. They can change shift information to all of this information is right here, but also notice on the far right corner here, you can delete entire time. Now this is for somebody that reason you have deleted the time now, one thing that’s very important to mention here is that we have a deleted time report. Let me show you by going to the top of the screen and
an employee may still come back to, well, wait a minute. I worked that time where they could still be able to see the deleted report to show them why it was deleted and that it was actually here. Now that’s a quick overview of the time cards. Since we’re talking about reports, why don’t we jump into that lot of options to choose from that you can run on demand. For example, let’s click on the daily hours as a quick example. We can put in a start date and an end date and click Submit, and you will see that this daily hours report comes up. What I wanted to point out here is in the upper right, as a CSV file, Excel document, a PDF, or you can just print that out for your records. Also under Reports, we have a payroll it’s going to put everything together and get things ready to send out to your payroll provider. Let’s go ahead and touch on the settings. At the top, when I click on settings, you will see a lot of options. Well, basic column are settings such as your general account settings. You can set up administrators under DPS settings, you can set up who requires this. If you want to make that optional, you can do that too. You’ll even see that you can set up locations, department codes, even positions within your company for best driving and on the right side, under Advanced you will see more options and features. Here you can see where you can set up device locks, facial recognition, geofence requirements, IP address locks, overtime rules, settings. One last thing that I do want to show you here, though, that is very important is under reminders. Let me click on this. Here you can set up on an employee by employee basis, one of 14 different reminders that go out by email or push notification to an employee’s so for example, let me click on add new alert so we can create one together. After giving this an alert under the type, there’s a drop down box, and as you can see here, are all of your options. Maybe you want to give them a heads up that they’re approaching their overtime be a reminder that their shift starts, so no I was scheduled, or reminders to submit their time cards, and just a quick reminder here that this can be done again on employee by employee basis.
